Key Stakeholders:

The Rugby Football Union (RFU) is the governing body for grassroots and elite rugby in England, with 2,000 rugby clubs in its membership. Its income is made up of funding from sponsorship, government, ticket sales, merchandising, hospitality and catering, a hotel, travel and leisure companies and TV rights.

Twickenham Experience Ltd (TEL) is the RFU’s joint venture with Compass Group Plc, which manages and operates all match day catering, hospitality and bar services as well as non-match day catering, conference and event management services at Twickenham Stadium.

Keith Prowse (KP) is TEL’s official match day hospitality sales partner and has the responsibility for hospitality sales within the stadium.

England Rugby Hospitality (ERH) is the entity being set up by the RFU and supported by KP that sits within TEL to market and sell all match day hospitality within Twickenham Stadium ( including the new east stand )from 2018/19, to include all Boxes (2000 guests) and all Suites ( c 8655 guests).

Nature and Scope:

A unique opportunity is available for an innovative and experienced Event Manager to join Keith Prowse for ERH as a Senior Event Manager (SEM), to support the exciting new developments at Twickenham stadium by leading the implementation of a new hospitality offering, England Rugby Hospitality (ERH).

This role would suit a very organised, proactive and driven Event Manger who would like the opportunity to build and develop a new operation and be responsible for the leadership, management and performance of multiple events.

Leading and working closely with the ERH event team and ensuring that the implementation and vision of the new hospitality offering is carefully managed to specified timelines and all deadlines are adhered to.

The SEM will work in partnership with the RFU and Keith Prowse colleagues to set the ERH’s vision and direction. They will drive the development of the new offering and identify improvements to keep the world class offer relevant and on trend.

Accountabilities:

  • Lead contact and representative within ERH for events management, providing clear, decisive and informed direction
  • Prepare and be accountable for event budgets, working budgets and event reconciliation, in liaison with the Finance team
  • Oversee the creation, monitoring and delivery of weekly sales reports and facility allocation reports to maximise profitability in liaison with the wider ERH team
  • Ensure set up of all events, facilities and packages within XMS management system (in house stock management programme) with continual package and stock management
  • Be responsible for and compliant with all health and safety policies
  • Oversee and manage the on-day event management delivery to ensure a smooth and successful event
  • To be the prime contact and provide day to day liaison with the venue, caterers and all stakeholders to set up, manage and deliver all hospitality packages
  • Oversee and monitor the creation of concise event table plans working closely with the venue and caterers
  • To be accountable for all ticket requirements, allocations and mark backs meeting all contractual deadlines and obligations in liaison with the ticket office and wider ERH team
  • Appoint, manage and lead a team of full time and seasonal staff in conjunction with the Event Team Manager
  • Organise and represent the Event Team in all operational board meetings
  • Create, manage and oversee a Critical Path Analysis (CPA) of all key elements and time sensitive deadlines for all matches
  • Ownership and ongoing development of the In Pursuit of Excellence document as a standard of operation
  • Support and guide the ERH team with CPAs and IPOE’s
  • Regular team meetings and 1-2-1’s with the Event Team Manager, Head of Events & Development and ERH team
  • Oversee and monitor CRM case management, dealing with all customer queries to an agreeable outcome
  • Drive innovation, ensuring ideas are well researched, communicated and implemented
  • Manage and liaise with all suppliers to ensure accurate ordering within budget
  • Be responsible for and continually review innovation/product content for events to include mapping customer journey, market trends, competitor analysis and client walk through
  • Research food trends and work with the caterer to create menu offerings to meet package requirements
  • Attend menu and wine tastings and meetings with the caterer supported by Head of Events & Development and Hospitality Manager
  • Working with the RFU, KP Marketing Team and venue to create, design and deliver event documentation
  • Approve event factsheets, event documentation, event guides, menus and any other literature relating to the event
  • Assist with additional responsibilities as assigned by Event Team Manager or Head of Events & Development
  • Liaise and assist with customer requirements pre event, on-day and post event
  • Be responsible for and compliant with all Compass health and safety policies
  • Actively collaborate with ERH, RFU & KP colleagues to contribute to the development and delivery of strategic, business and operational plans
  • Act as an ambassador for, and promote the best interests of ERH, RFU & KP at all times, including the promotion of the Core Values
  • Undertake such other duties as maybe required from time to time as are consistent with the responsibilities of the post and the needs of the organisation


Person Specification

Qualifications, Experience, Skills and Personal Attributes:

  • Experience of managing a team
  • Credible operational experience working in an events company
  • Maintains an active external network; is aware of current trends within the global hospitality industry and receptive to new ideas and opportunities
  • Ambitious and driven with a clear determination and belief to install these qualities to other team members
  • Strong management, budget, planning and control skills
  • Excellent communicator
  • Maintains an adaptable and flexible approach to all challenges
  • Strong evidence of event management experience
  • Strategic thinker and planner with the ability to bring together a variety of elements.
  • Disciplined, self-motivated and a high level of integrity
  • Team player with the ability to work on your own initiative
  • Efficient working method with a keen attention to detail
  • A basic working knowledge of CAD
  • Must be of a positive mind set and have resilience
  • Experience in large stadium ticketing preferable
  • Experience working with large scale catering operations preferable
